This Privacy Policy explains how DepotBooks (“DepotBooks,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with the DepotBooks accounting and ERP software (the “Service”). It applies to information processed when you create an account and use the Service. It should be read together with our Terms of Service.
When you register, we collect information needed to create and manage your account, such as your name, email address, business name, role, and login credentials. Passwords are handled by our authentication provider and stored in hashed form; we do not store your password in plain text.
In the course of using the Service, you submit business records (“Customer Data”) such as financial transactions, ledger entries, invoices, inventory, customer and vendor records, contacts, and uploaded files including photos and signatures. You control what Customer Data you enter. This data may include personal information about your own customers, employees, or contacts — for which you act as the controller and we act as a processor on your behalf.
We and our infrastructure providers automatically collect limited technical information needed to operate and secure the Service, such as log data, device and browser type, IP address, timestamps, and an audit log of actions taken within your account. The Service is multi-tenant, meaning multiple organizations use shared infrastructure. Customer Data is stored with our cloud infrastructure provider. We rely on industry-standard safeguards including encryption in transit, access controls, role-based permissions, and authentication protections. You are responsible for safeguarding your own login credentials and for managing the access you grant to users within your organization. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We retain Customer Data for as long as your account is active or as needed to provide the Service. After account termination, upon your request within a reasonable period we will make a copy of your Customer Data available to you, after which we may delete it, except where retention is required by law. We may retain limited records (such as billing and audit logs) as necessary for legal, accounting, or security purposes.
Depending on your location, you may have rights regarding personal information, such as the right to access, correct, obtain a copy of, or delete it. Because much of the personal information in the Service is Customer Data you control, you can often access, edit, and delete it directly within the Service. The Service is operated from the United States, and information is processed and stored in the United States and in locations used by our infrastructure providers. If you access the Service from outside the United States, you understand that your information may be transferred to and processed in the United States, which may have different data-protection laws than your jurisdiction.
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice by updating the “Last updated” date and, where appropriate, by additional notice through the Service.
